Manage people across plans

Keep one reusable person in a space, link plan-local people to it, and resolve duplicates without losing assignments.

Understand the two levels

Weeks keeps people at two related levels:

  • A space person is the reusable identity in a space-wide people pool. The same person can be linked into several plans.
  • A plan person belongs to one plan. It carries that person’s slot and job assignments in the plan and can link back to a space person.

Use a space person when several plans should recognize the same identity. A plan person can stay local while you are still collecting names, but it is not included in the Space Overview until it is linked to the space people pool.

Build the space people pool

Open a space, open the space tools, and choose People. The list shows each reusable person together with linked plans and external identities. Use Add Space Person to add someone directly to the pool.

A plan’s people tray lets you add a person for that plan. Search for and select an existing space person when the identity already exists in the pool. Weeks creates the plan person and links it to that shared identity.

If you enter a new name instead, the plan person starts unlinked. You can keep planning with it, then decide later whether to link it to an existing space person or create a new shared identity.

Reconcile unlinked people

Open Reconciliation in the space tools. Pending rows show the plan, example jobs, and likely matches for each unlinked plan person.

  • Choose Accept when the suggested space person is not linked into that plan yet.
  • Choose Resolve when that space person already has another plan person in the same plan. This opens the duplicate check before anything is merged.
  • Choose Promote to select a different space person or create a new one from the local name.
  • Choose Dismiss when you deliberately want the person to remain plan-local. Dismissed entries stay available under Dismissed and can be reopened.

Linking removes the person from reconciliation and brings the linked person and jobs into the Space Overview.

Resolve duplicates safely

When two plan people might represent the same space person, Weeks asks you to decide rather than merging automatically.

If they are the same person, choose the existing shared identity and merge into the plan person that should remain. The source plan person is removed, while its slot assignments, job assignments, and planning states move to the keeper where possible.

If they are different people with the same name, add different qualifiers. Weeks keeps two space people and links the plan people separately. After either path, Weeks can offer matching unlinked people from other plans as follow-up links.

Review the keeper before you confirm a merge.

Merging removes the duplicate identity. Deleting a space person instead returns its linked plan people to reconciliation.

Permissions

Viewers can read the space people list. Editors and admins can add and edit people, link plan people, and use Reconciliation. Team administration is separate from these scheduling permissions.
