Share a schedule

Publish a filtered space overview, optionally let known space people sign up, and offer personal calendar subscriptions.

Save the view you want to share

A shared schedule starts as a saved view of a space overview. Its plan, date, layout, people, and planning-context filters decide what the public page shows. See Use the All jobs workspace for the complete filtering and saved-view workflow.

  1. Open a space and choose All jobs.
  2. Set the filters and List or Timeline layout for the schedule you want to publish.
  3. Enter a view name under Filters, then choose Save as view.
  4. Open the saved view from the space tools menu.
5. Choose View settings beside the active view to review its name, language, filters, and sharing options.

Only a team administrator can create, update, duplicate, delete, or manage public sharing for a saved view.

Turn on link sharing

In View settings, choose Enable anyone-with-link sharing. Weeks creates a public link for that saved view. Use Copy link in the settings dialog or the link button beside the saved view.

The public page is read-only unless you separately enable self-sign-up. It uses the saved view’s filters, does not show the saved-view switcher, and can use a fixed share language or the visitor’s browser language.

Treat the link as access to the schedule: visitors do not sign in, and anyone who receives the link can open it. Share only a view whose people, assignments, comments, and planning context are suitable for that audience.

Calendar subscriptions

While link sharing is active, keep Calendar subscriptions selected if visitors should see Apple Calendar, Google Calendar, Outlook, and copy-link actions. A visitor first selects their shared identity; the subscription then contains that person’s timed assignments that pass the saved view’s filters. Calendar subscriptions are enabled when a share is first created, but an administrator can turn them off in View settings.

Control self-sign-up

Allow unsecure self-sign-up lets someone with the public link choose an existing person from the space and act as that identity. It does not verify who they are. Leave it off unless that trust model is appropriate.

When self-sign-up is on, set a policy for each visible plan:

  • No one — nobody can join open shifts in that plan.
  • Space people — any person in the space can join.
  • Plan people — only people who already participate in that plan can join.
  • Slot people — only people who already participate in that slot can join.

An existing invitation can still be accepted by the invited identity. Other sign-ups require an eligible visible assignment with available capacity. Hidden plans, filtered dates, excluded untimed slots, and past assignments that the view hides are not available for sign-up.

Use the public schedule

A visitor can view the full shared overview without choosing an identity. After choosing their name under Who are you?, they can switch among Only mine, Only open, Mine and open, and All.

If self-sign-up is enabled and the plan policy allows it, Count me in! joins an open shift. Weeks warns when the choice overlaps other timed work that asks for full focus. An invited person sees Yes, works! to accept the invitation.

A participating person can choose Please take me off. This records a leaving request on the plan rather than removing the assignment immediately. They can choose Never mind, keep me on while that request is pending.

Revoke access

Choose Revoke link in View settings to disable the current public URL. Re-enabling sharing creates a new access code, so the revoked URL stays invalid. Calendar subscription URLs from that share stop working too.

Revoking the link does not delete the saved view. You can continue using or editing the view inside Weeks, duplicate it, or delete it separately.
