Build and staff a plan

Create a plan, add slots and reusable jobs, assign people, and keep finished plans available without crowding current work.

Create the plan

Open the space where the work belongs and choose Add New Plan in the plan tabs. Enter a name and confirm to create and open the new planning canvas.

A plan is the work one group wants to build, review, and staff together. It might represent an event, week, department, venue area, project phase, or another planning window. If different planners need separate ownership, use separate plans inside the same space.

Add slots

Slots are the sections where people and jobs come together. A slot can be a day, shift, room, station, route stop, work area, or any other useful unit inside the plan.

Use the inline slot field on the canvas to add slots quickly. Press Enter to confirm each slot; the field stays ready for the next one. You can also explicitly confirm an empty name to create an Unnamed Slot, then add its name and details later. Use More options when the slot needs a timeline, place, or other details at creation time.

Create and place jobs

A job is reusable work in the plan. Placing that job in a slot creates an assignment card for that occurrence.

There are two useful starting points:

  • Inside a slot, search the compact job picker. Select an existing plan job to reuse it, or choose the create option to make a new job and place it in that slot immediately.
  • In the jobs tray below the slots, create work before you know where it belongs. The new job remains unplanned until you place it in a slot.

The same plan job can appear in more than one slot. Renaming a reused job changes its shared name across those occurrences; Weeks asks for confirmation when the name is shared.

Assign people

People can enter the plan before or during assignment:

  • Add someone in the people tray to make them available to the plan. Choose an existing space person when the identity is already shared across plans, or enter a new plan-local person.
  • Add someone to a slot first when they are committed to that part of the plan but their exact job is not decided.
  • Open a job’s person picker to search the available people and assign someone directly. When the person is already visible in the slot, you can also drag them onto a job and confirm the assignment details.

A person assigned to a job is also connected to that job’s slot. Removing a person from one job does not remove their other assignments.

Track participation

Each job assignment can also record how participation developed. A plain confirmed assignment and a person marked Volunteered count toward staffing. Proposed and Invited assignments stay visible as candidates but do not count as active coverage. A withdrawal request or proposed release keeps the assignment and its history visible while removing it from the active staffing count.

Open the small participation indicator beside a person to see the current state, timestamps, and available next actions. These events preserve the path to the current state; Reset all clears the event markers but leaves the underlying assignment confirmed.

Read staffing signals

Open an assignment’s full details when you need more than a name. You can set a staffing target and allowed variance; the canvas then shows whether the active assignment count is under, within, or over that range. Assignments with a pending withdrawal or release do not count as active staffing.

Timed work requires full focus by default, while untimed work allows shared staffing by default. You can override that setting in the assignment details. When a full-focus assignment overlaps other timed work, Weeks shows the conflict and requires deliberate confirmation instead of silently blocking or ignoring it. A negative planning hint can require the same confirmation.

A warning is a decision point, not an automatic rejection.

Review the overlapping work or planning hint, then continue only when the assignment is intentional.

Archive finished plans

Use the space tools and open Manage Plans when a plan is no longer current. Open the plan’s management page and choose Archive Plan. Archived plans disappear from the space’s normal plan tabs and overview list, but remain available in Manage Plans and can be restored with Restore Plan.

Archive when you want to preserve the plan without crowding current work. Removing a plan is the destructive option and should not be used as routine cleanup.
